Job Title:        Club Administrator
Reporting to:    Club Chairman

General Description

Forest Row Village Club is a member’s club affiliated to the CIU that provides a bar and social activities for its members to enjoy. The role of Club administrator is to carry out the day to day secretarial and club treasurer functions on behalf of the Trustees and committee. We have a dedicated office within the club for the administrator to work from and can offer flexitime working. As this role is a sole function it will be suited to someone who is capable of managing a wide range of activities and comfortable working on their own.

Job Description

Cash & Banking
  • To ensure cash is available for all till floats and petty cash, to keep cash securely and to account for all cash and card transactions.
  • To ensure that the banking is done at least twice a week and more often when necessary.
  • Empty snooker tables once a week and process accordingly.
  • To receive and reconcile the takings for the Gaming machines.
  • To receive and process all other payments.

Human Resources
  • To set up employees on payroll system and update coding when necessary
  • To check all employee timesheets, calculate and produce employee payslips, prepare cash payments.
  • Submit to HMRC each payroll and send monthly NI payment.
  • To process leavers and produce P45.
  • To produce annual P60 for all employees.
  • To log and monitor staff annual leave.

Accounts
  • To maintain the daily cash book.
  • To carry out the weekly bookkeeping of monies paid and received, and document accordingly.
  • To pay suppliers invoices and reconcile supplier statements.
  • To monitor bank account activity
  • To reconcile the monthly Bank statement.
  • To setup and maintain utility bills and all direct debits.
  • To produce the monthly Management Accounts and distribute to the Committee.
  • To produce and submit the quarterly VAT and Machine Games Duty returns to HMRC.
  • To prepare the accounts for the year end and submit to the Club’s accountant.

Ordering & Deliveries
  • To receive deliveries and check accordingly. To place orders when required.
  • To maintain a good relationship with suppliers.

Membership
  • To ensure that a Membership Register is kept of all members and their contact details together with the membership fees paid.

Meetings
  • To act as Minutes Secretary at the Committee Meetings and ensure that an accurate record of the meetings are kept, written copies produced and distributed to committee members in a timely manner

Office
  • To act as Office Manager ensuring the administration of the business is efficiently carried out and regard is given to Health & safety requirements in the office area.
  • To keep up to date with modern business practice and computer software required to carry out the job effectively and to attend training courses where necessary.
  • To receive hall hire bookings and process accordingly.
  • To ensure the Club’s data is keep securely and up to date.
  • To ensure all software updates and data backup are carried out in a timely manner.
  • To ensure the updates to the Club’s website are carried out when required.
  • To provide the necessary information required for the Finance committee when requested.
  • To assist the Bar Manager in the quarterly stocktake.
  • To request and complete licences and certificates for the Club.
  • To complete the FCA form in liaison with the Club’s accountant.

Hours of Work
Once established in the role we anticipate that the ongoing job requirement will be Approx. 25 hours per weekAttendance at Monthly Committee meeting (7:30pm to 9:30pm) on 2nd Tuesday of each monthAttendance at Annual General Meeting in March (7:30pm to 9:30pm)Holidays20 days plus bank holidays

Remuneration
Negotiable

Skills and Experience Required
Minimum of 3 years book keeping experience
Experience of having managed a small payroll and fulfilling the necessary tax filing with HMRC, producing payslips and making up wages
Experience of VAT filing
Ability to compile monthly management accounts
Ability to work with MS office
Willingness and ability to work by yourself
Effective communication skills
Ability to be able to review existing processes and propose improvements
